  • Commercial Property Management
      • Health & Safety Manager

        Job Description: Health & Safety Manager

        Reports to: Director and Head of Commercial Property Management

        The role is mainly focused on overseeing a robust H&S management plan, ensuring the company is in line with current statutory requirements.

        Outline of Duties:



        -Liaise with the principal H&S Consultants and chair quarterly meetings with them and relevant P&C members of staff.
        -Chair quarterly H&S Committee Meetings within P&C to ensure awareness and compliance throughout the company.
        -Co-ordinate regular meetings with asbestos and legionella consultants and Property Managers.
        -Ensure all training for staff is current and renewed within relevant timeframes.
        -Oversee management of the H&S software, Meridian, and provide user training for all new staff members and refresher training for all users and refresher training for all who require it.
        -Ensure sufficient training for the use of Meridian to all users and oversee the continued monitoring/reporting on compliance for each Manager within the Property Management Departments.
        -Ascertain the level of H&S compliance over the entire portfolio and compile data on all existing statutory documentation.
        -Regularly tender all H&S survey fees for Fire/General Risk Assessments, Water Hygiene RAs, Asbestos Managements surveys, and negotiate good market value rates with competent companies.
        -Annually review and amend the bespoke company policies, or when necessary, which include all management plans.
        -Oversee the administration of the approved contractor list (ACL) and all contractor’s applications and ensure relevant information supplied meets requirements to facilitate the contractor’s entry onto the ACL.
        -Ongoing management of the ACL i.e. annual reviews should be carried out in order to ensure all contractors are currently qualified/insured to carry out works.
        -Ensure suitable procedures are set up and rolled out to site for all foreseeable emergencies.
        -Liaise with Heads of Departments and Company Secretary to ensure that senior management approval is obtained for all expenditure.
        -Provide advice and assistance to staff, contractors and tenants, where necessary, in all H&S matters.
        -Seek to continually improve and maintain high levels of H&S awareness and compliance throughout the company and the whole portfolio.
        -Keep staff updated on CDM regulations as they change.
        -Manage the process of reporting any incidents to the HSE (RIDDOR).
        -Manage through to completion any Priority 1’s as they appear on Meridian.
        -Must have NEBOSH-General Certificate.
        -Experience of operating in a Commercial and Residential Property Market.
        - Must be able to work with a great deal of autonomy.

        Facilities Management Role – Islington Office.

         Introduction:

         Pearl & Coutts is part of the Structadene Group – a private investment company with over 1,300 properties under in-house management.

        This position is to be part of that in-house property management team, currently consisting of 20 people – all based at our 9 White Lion Street, Islington head office.

        Job Description:

        General Responsibilities

         

        - To deliver an appropriate property and facilities service to Pearl & Coutts and their tenants and customers in accordance with best industry practice, the contract terms and statutory requirements.
        - To manage on-site building managers and staff in the delivery of the facilities management service.
        - To work as part of the Commercial Property Management team, working alongside both the accounting, letting team and legal team members.
        - To attend client, contractor and tenants meetings in connection with all aspects of the day to day property management role

         Day to Day Duties

         - To undertake the facilities management role in connection with a number of multi-occupied and single occupancy properties, in our regional portfolio. This consists of offices, high street retail, industrial and mixed use properties.
        - To be responsible for the preparation of the service charge budgets – to be agreed in consultation with the Head of Department and the service charge accounts team.
        - To have experience of supervising on-site staff and in the procurement of service contractors to undertake and perform maintenance and contract duties required at the properties under management.
        - To assist in the preparation of financial forecasts and annual maintenance expenditure.
        - To liaise with the accounts team on funding availability together with the managing of expenditure on a monthly basis.
        - To assist in streamlining invoices from contractors at all times.
        - To approve all invoices within the given authority limits.
        - Liaising with tenants on all matters, whether this relates to Landlord’s common areas or specific parts of the tenant’s accommodation.

        To have good experience of interpreting lease clauses, liabilities and obligations.

        Experienced in the setting up of new management instructions, with particular regard to multi-occupied service charge properties, including apportioning service charge liabilities, reviewing and setting service charge budgets.

        A good understanding of property management accounts functions, including credit control, dealing with general tenant service charge queries and enquiries.

        A car driver is essential.

        Health & Safety

        - To ensure the implementation of all necessary health and safety procedures.
        - To ensure compliance with Pearl & Coutts’ Health and Safety Policy.
        - To assist in special FM related projects from time to time, including major repairs/refurbishments.
        - To undertake all other functions that may be required to comply with our procedures and all duties required to perform our contractual obligations.

         

        Qualifications

        To show substantial commercial property management experience across all sectors.

        Preferably IOSH or NEBOSH Certificated.

        Experienced in reading leases and legal documents and interpreting repairing and maintenance responsibilities and liabilities.

        Capable of adopting a very hands on flexible and practical approach to property and Facilities Management.

        Good experience in Property Management computer software, preferably Horizon.

        To show ability to work within a team and to bring value to the team.

        Good communication skills at all levels and able to present the company in a professional manner.

        Experience with the Meridan Health and Safety Database would be preferable or similar systems.

         

        Salary

        Circa £45k depending on experience

        Death in Service Insurance equating to 4 x Annual Salary

      • Property Administrator

        Property Administrator

        Job Description

         

        Job Function

        The purpose of the Property Administrator position in the Commercial Property Management Department, is to assist with the day-to day functions of the department and the function of the Property Management team. The Property Administrator may be required to act as liaison between the Property Manager, Tenants and suppliers for certain property related issues at the buildings.

         

        Key Responsibilities include, but are not limited to:

        - Raising purchase orders for Property Managers for maintenance works and administering a P O tracker
        - Arranging with Tenants and Contractors, access for maintenance works
        - Setting up and maintaining a key press for the keys to the buildings, together with a signing in and out system.
        - Updating Horizon comments section with relevant building access/Site staff details etc.
        - Uploading compliancy documents on to the Meridian database when required
        - Assisting with the tendering of any works required to the buildings
        - Letters to Tenants advising of any works taking place or non-compliance with their lease terms or as the Property Manager requires.
        - Assist in the performance of all necessary functions to facilitate tenant “Move in” and “Move out” procedures.
        - Arrange the termination of any supplier contracts, when a property is sold. 
        - General filing, including paper and electronic.
        - If required, visit the properties to perform or assist in the performance of management duties.
        - Generally to assist all functions in the Commercial Property Management Department.
        - Send copies of Lift insurance reports to lift consultants and external managing agents and advise of any works required therein.

        The candidate must possess strong attention to detail; quick to learn new procedures and be able to juggle multiple job functions.         Summary
        The Structadene Group is an established, friendly and successful private London based property investment and development company, we own and manage a substantial commercial and residential portfolio - in excess of 1500 commercial properties (circa 5000 tenants) - with a focus in central London and selected regions throughout the UK.

        You will be responsible for running the Landlord and Tenant department within the Organisation. The role involves negotiating and settling rent reviews, lease renewals and managing a small team.

        Main duties
        The role is office based with the following primary responsibilities:
        1. Leading, negotiating and settling rent reviews for a portfolio of approximately 1500 commercial buildings, comprising of circa 5,000 tenants.
        2. Overseeing rent reviews and lease renewal information, ensuring accurate input into the property management system (Horizon) in an effective and timely manner.
        3. Leading a small team i.e. managing regular supervision meetings, setting objectives, conducting performance appraisals, building positive team dynamics.

A major part of this role involves ensuring the health and safety compliance needs for our portfolio of residential properties are met.

        Main duties
        The role is office based and includes travel in and around London with the following primary responsibilities:
        - Working with external assessors to attend properties and effectively conduct fire risk assessments
        - Reviewing and evaluating, with accuracy, fire assessment outcomes conducted from on-site visits
        - Instructing external contractors to undertake onsite work at properties to meet compliance needs i.e. asbestos management surveys, legionella surveys
        - Working effectively with outsourced suppliers to review surveys such as legionella, fire, general risk assessment and asbestos management surveys (outsource surveyor and house managers review)
        - Timely uploading of key compliance information into the Meridian (H&S) database
