The Structadene Group is an established, friendly and successful private London based property investment and development company, owning and managing a substantial commercial and residential portfolio - in excess of 1100 commercial properties - with a presence in central London and selected regions throughout the UK.
This varied and really interesting role involves assisting with the day to day running of the commercial department in all aspects of the property portfolios and to be the main point of contact for all tenants and contractors.
As a commercial property administrator you will be responsible for a variety of work such as raising Purchase Orders for all commercial repairs which are instructed, as well as overseeing the works to completion. You will be working alongside our Facilities and Property Managers and various other departments i.e. lettings, residential, service charge and legal.
Duties include - this list is not exhaustive:-
Purchase Orders
- Raising Purchase Orders for all commercial repairs logged
- Submitting Purchasing Order to all contractors on a daily basis
- Amending any errors with Purchase Orders
- Obtaining quotes from contractors
Health & Safety
- Overseeing the health and safety compliancy of the commercial department
- Instructing health and safety audits
- Conducting site visits to ensure health and safety remedial work is completed
- Attend monthly meetings to ensure audits are taking place as planned
- Sending compliancy statistics to the commercial team and assisting with the works required
Invoicing
- Submitting contractor invoices to the accounts team
- Flagging up any errors
- Maintaining monthly contractor invoices - update status checks
Tenants
- First point of contact for tenants
- Assisting with repair queries
- Assisting with service charge queries
- Assisting with lease queries
- Assisting with insurance works
Contractors
- Sending work instructions
- Completing PO trackers
- Answering invoice queries
- Chasing progress of outstanding works
Other
- Key Management (arranging and distributing keys. Keeping track of keys)
- Diary Management
Must haves for this role:-
- Demonstrable experience in property roles - residential or commercial
- Demonstrable knowledge of general repairs and maintenance
- Demonstrable knowledge of health and safety
- An Excellent eye for detail
- A thorough, methodical and organised approach to work
- Good IT skills (Word, PowerPoint, Excel)
- Finely tuned communication skills: precise, empathetic and tactful
- The ability to solve problems
- A friendly manner, a really good team player
- A high threshold for dealing with varying queries
